Why a rent roll stops telling you the truth
Nearly every rent spreadsheet we have seen has the same flaw: it is rebuilt each month. Last month's tab is overwritten, or copied and edited, and the two-hundred short from March survives only as long as somebody remembers to carry it forward.
The fix is small and it changes everything: record what arrived, not what is settled. A payment is a fact with a date on it. What is owed is arithmetic:
Outstanding = Rent due to date − Payments received
Monthly · Every four weeks · Quarterly — whatever the tenancy says
A part payment, a month in arrears, a tenant who catches up in July — nothing has to be re-typed and nothing is lost by moving to the next month, because the months were never the record in the first place.
